GUMU™ Settings Guide

Generally, the Greytrix technical team configures the integration on your behalf as part of the initial setup. However, because the GUMU allows you to make codeless customization changes to your integration, you can always make these changes on your own if you wish. The material below walks you through the steps to get this done.

Overview

Within the GUMU™ Settings app we see a panel that contains the integration configuration settings. These features are related to mapping data between Salesforce fields and Sage. These seven tabs include:        

  1. Configuration
  2. Security matrix
  3. Entity Settings
  4. Entity Mapping/Import
  5. Unlink Account
  6. Link Account
  7. Salesperson mapping

Pre-Configuration

The GUMU™ integration uses Web Service to communicate with Sage. Before configuring Web Service in the GUMU™ configuration we need to specify and save the URL in Salesforce Remote Site settings.

Configuration

The configuration module is used to set up the integration between Sage and Salesforce. Here we can create a new integration or edit an existing integration.

Security Matrix

The Security Matrix screen is where you manage access rights for the different integration features. These can be set for specific Salesforce Profiles or by User. Click the Security Matrix Steps button below to see how this is done.

Note: Even if the access rights for a screen are modified in the Security Matrix, a user with a System Administrator profile will still have default access to the screen due to their administrative privileges.

Entity Setting

Entity Settings manage which Sage web services, and fields associated with it, need to be integrated. The GUMU reads the table schema using Sage 100 Web API and maps details like Field Name, Field Label, and Data Type that you can see under the mapping tab of the Import.

Let us walk through the process of creating a new entity and get the real-time schema of the Sage object. Click the Entity Setting Steps button below to get started.

Entity Mapping/Import

The web services and values defined in the Entities tab are available in the next tab, Entity Mapping/Import. This screen allows users to import ERP fields from Sage. Customers for example along with their respective contacts can be imported into Salesforce Accounts and Contacts. The import routine can be run as needed or automated to a set schedule.

Unlink Account

One of the GUMU‘s features is that you can remove linking between already linked Salesforce Accounts and Sage Customers. This can be done if you no longer want to keep the relationship between two Accounts/Customers or want to break all transactions that work in real-time. After unlinking, you will not be able to access real-time ERP data, create a Sales Order, or conduct any other transactions.

Link Account

The GUMU is a real-time bi-directional integration, using the GUMU you can import new customers from Sage to Salesforce. But what if a customer already exists in Salesforce? You will have to link the existing Customer before bringing the Customer from Sage to Salesforce to avoid duplication. The GUMU Link Account feature helps you do this.

Once the Salesforce Accounts gets linked with Sage 100 Customers, you can see real-time inquiries (Customer Details, Sales Orders, Invoices, etc.) in Salesforce. You can also create Sales Orders for that linked account and promote them to Sage 100.

Salesperson Mapping

The Salesperson Mapping screen allows you to link a Salesperson in Sage to a Salesforce User, so that the linked Salesperson will be automatically set as the default Salesperson for that specific Salesforce user.
