Sage 300 CRM users have unparalleled access to accounting data without actually having access to the Sage 300 system (or consuming a Sage 300 license).
The Sage 300 integration is published by Sage, and all Sage 300 customers that are current with their Sage support plan are eligible for 1-free Sage CRM license.
As you review the depth of the integration on this page, please keep in mind that having staff use Sage CRM provides them with all the Sage 300 functionality they are accustomed to for approximately 1/3 of the cost of a Sage 300 license. Plus they get Sage CRM.
Features
Benefits
From the customer (or vendor) record in Sage CRM, users can see key Sage 300 fields, but also have access to key Sage 300 functions.
This image shows us key tabs across the top which we have explained in more depth below.
Users can also jump directly to creating a new Sage 300 Quote or Order from this screen. When we use either of these two features, we are using Sage 300 inventory pricing.
The A/R inquiry tab shows us invoice history for the account. User can filter invoices by paid or unpaid and even dive into the specifics of that invoice including line item detail.
The Customer tab opens up the same Customer tab we see within Sage 300. From here we can go deeper into the sub-tabs of the account.
Credit status, optional fields, statistics are all accessible to your front line staff, therefore eliminating their need to log directly into Sage 300.
An Order can be created from Sage CRM either from the context of an opportunity, or directly from the Company Summary screen. If you do elect to directly create an order, a Sage CRM opportunity is created in the background automatically
These order screens are Sage 300 order screens. So, the same rich functionality exists.
When most people think of CRMs integrating with accounting data, they think of customer records, but the Sage 300 CRM integration also works with Vendors.
The fields highlighted in this image indicate the points of integration for vendor companies from Sage CRM.
Note that just because these features exist, you may elect to restrict (hide) certain functionality from individual users.
From the AP history tab, we can view a list of documents, but also bring up the transaction itself by clicking on the Document Number hyperlink.
From the purchase order tab, users can view OR create purchase orders.
CRM users can readily view inventory sold to a particular customer as well as what it was sold for.
Please also notice the user has the ability to create a new Quote or new Order from this screen as well.
While the Sage 300 to CRM integration is very strong, there are some situations when it makes sense to adjust the default integration. Below are some examples.
By default, any new company can be created by either (a) promoting them from CRM into Sage 300, or (b) by using an import function to bring in companies from Sage 300 into Sage CRM.
Related to option (b), some organizations require new companies to automatically get created within Sage CRM without user intervention. We accomplish this using a Windows scheduler routine.
For some organizations, the sales rep is defined and managed primarily in Sage 300. And is subject to change. If this applies to you, we can have the sales rep value (aka account manager) update in CRM based on the change in Sage 300. This can also include updating the territory (security) associated with the company record in Sage CRM.
Whether you need standard fields from Sage 300 to be brought over, or may you want some form of calculated measurement to display within CRM – you can. We have done this before for Customers and Vendors.
By default, integrations between CRM and 300 allow for only a single relationship. Example: 1 CRM company pointed to 1 Customer or Vendor record. However, some organizations have multiple accounting databases with the same companies appearing in more than one database. For these situations, we use an extension to the integration that allows for a single company record in CRM to be connected to multiple accounting databases (Customers or Vendors). We refer to this requirement as 1 to Many.
From the Linked Companies tab, we can establish the connection between the single Sage CRM company and multiple Sage 300 records, as well as define the default relationship.
The integration between Sage CRM and Sage 300 leverages Sage 300’s web-screens. This means that your Sage 300 system must be either version 2019, version 2020, or version 2021 and that Sage 300 web-screens must be configured. If Sage CRM will be accessed outside of the local area network (the Internet), this means that both Sage CRM and Sage 300 web-screens must be exposed to the Internet.
